How do I update the Master Data in the District Site?

  • Enter the first and last date of the upcoming school year.

 

  • The System Wide Disqualification Date is 30 school days (operating days) from the start of next year’s start of school. For example, if the upcoming school year is 2021-2022, this year the date will be in the fall of 2022. Use 31 days, because the change to benefits starts at midnight on the 30th day. This date will end up in the “New Expiration Date” field in the Dashboard of the District Site.

 

  • Grace Period for Benefit Reduction may vary by state. The most common selection is 10 days for benefit reduction due to adverse action.

 

  • If you have any questions about the System Wide Disqualification Date, the Grace Period for Benefit Reduction (in days), or the Temporary Number of Approvals Days, please call Wordware Tech Support at 800.934.2621 for guidance. Entering incorrect information in the Master Data can cause significant problems during the next school year!

 

  • Update the contact information for your hearing official and contact person, if necessary.

 

  • The Effective Dates in the Master Data, located just above the Income Table, are system dates (NOT the first and last day of school) and will always be July 1st of the current year to June 30th of the next year. For example, if the current school year is 2021-2022, the Effective Dates will be 7-1-21 to 6-30-22.

 

  • The income table for the next school year will be available after July 1st.  (We will send an email reminding you.) To load the current income guidelines, click Load State Defaults. Doing so will load the current free & reduced income table for your state, so you do not have to enter these numbers manually.

 

 

  • Select expiration and downgrade method by choosing the appropriate selection. Important: In almost all cases, you will want to allow the software to automatically expire/downgrade your students.

 

  • Be sure to click the “Save” button to save your changes.

 

  • Check your current expiration date. This date needs to be the 31st operating day of your new school year. This will ensure your students get 30 days at the previous benefit before expiring, if they do not reapply or come in on the Direct Certification list prior to that day.
